With a small but mighty team in Zurich, we’re looking for a proactive and versatile Operations Manager & Executive Assistant to help us scale efficiently and keep our operations humming.

This role is ideal for an ambitious business student, a startup-savvy EA, or a seasoned operations professional seeking a dynamic part-time role with real impact. You’ll support our co-founders and leadership team directly while keeping our Zurich HQ running smoothly.

Tasks

In this role, you will:

  • Office & Facilities Management: Ensure the Zurich office runs like clockwork—managing supplies, coordinating with vendors, and maintaining a comfortable and productive workspace.
  • Executive & Administrative Support: Assist the CEO and other C-levels with calendar management, travel bookings, email support, and preparation of internal or external documentation.
  • Finance & HR Ops: Help manage invoices, reimbursements, payroll coordination, and internal reporting. You’ll also assist with hiring, onboarding, and employee paperwork.
  • Event & Travel Coordination: Organize company events, conferences, team retreats, and executive travel—local and international.
  • Process Optimization: Identify and implement opportunities to streamline and scale administrative processes.
  • Cross-Team Support: Jump in wherever needed—from legal documentation to sales operations support and logistics for our interns and engineering team.

Requirements

You’re a strong candidate if you:

  • Have 3–4 years of work experience in office management, executive assistance, HR ops, or finance admin—or are a highly organized professional with a sharp sense of ownership.
  • Are fluent in English. German is a plus.
  • Have top-notch organizational skills and can juggle multiple priorities without dropping the ball.
  • Thrive in dynamic, ambiguous environments and love figuring things out.
  • Are comfortable using digital tools like Google Workspace, Slack, Notion, Bexio and possibly Hubspot or are willing to learn them.
  • Are available for at least 50% (ideally 60%) and can be present in the Zurich office several days per week. If the collaboration works well, the role can grow into a 80%-100% position long-term.
